A weekly admin rhythm that replaces constant catching up

If you feel like you’re always “catching up” on admin, it’s usually because your practice doesn’t have a predictable rhythm for backend work.

1. Choose one consistent admin block each week
Same day. Same time.
This becomes your catch-all space for non-clinical work.

2. Assign clear categories to that block
For example:

  • labs and documents

  • chart cleanup

  • outstanding patient messages

  • scheduling follow-ups

This gives lingering tasks a clear home instead of floating around your week.

3. Capture tasks as they come in, but save bigger items for your admin block
Quick replies can happen between patients.
Everything else gets added to your admin list.

4. Close loops before moving on
Finish tasks fully so they don’t create more work later.

This one rhythm replaces the feeling of always being behind with a sense of predictability and control.

You don’t need more hours in your week.
You need a clearer structure for how admin work moves through your practice.
